Changing Student Role to Incomplete Student Role

Students in a D2L (Desire2Learn) course section typically have access to the course for 30 days beyond the last day of final exams. This extension is usually sufficient for students who have been given an Incomplete grade to complete their necessary work and receive a final grade. However, in some situations, more time may be needed for the student to complete everything. When such a need arises, the student’s enrollment in the course must be changed from “Student” role to “Incomplete Student” role. This role will allow them to access the course beyond the end date. The following instructions cover the steps needed to change their role.

How Do I Do This?
  • Go to the appropriate course section in D2L:

    • Log in to your D2L account and navigate to the relevant course section.
  • Click on Classlist from the course menu:

    • This will display all students enrolled in the course.
  • Put a checkmark beside the student’s name and click on the Enrollment button above the list of students:

    • Find the student who requires additional time and check the box next to their name. Click the "Enrollment" button located above the list of students.
  • Click on the pulldown menu under the New Role column and select “Univ Student-Incom.” Then click on the Save button at the bottom:

    • In the new window, go to the "New Role" column, click on the pulldown menu, and select “Univ Student-Incom.” Click "Save" at the bottom of the screen to apply the changes.
  • Once the student has completed the work and been assigned a final grade, you will need to repeat these steps and switch their role back to “Student.” Otherwise, they will continue to have access to the course:

    • After the student completes their work and receives a final grade, repeat the above steps to change their role back to “Student.” This ensures they do not continue to have access to the course unnecessarily.
Things to Watch Out For

  • Timely Role Reversion: Ensure you switch the student's role back to "Student" promptly after they complete their coursework to prevent unauthorized access.
  • Communicate with the Student: Inform the student about the role change and the extended timeline for completing their work to avoid any confusion.
  • Monitor Progress: Keep track of the student's progress to ensure they are making use of the extended time effectively.
  • Check Permissions: Verify that the "Incomplete Student" role has the correct permissions to access all necessary course materials.
An Example

Scenario: A student named Alex needs an additional month to complete their final project due to unforeseen circumstances.

1. Access the Course Section:

  • Log in to D2L and go to the specific course where Alex is enrolled.

2. Open the Classlist:

  • Click on "Classlist" from the course navigation menu.

3. Select Alex:

  • Find Alex's name in the list. Check the box next to Alex's name and click on the "Enrollment" button above the list of students.

4. Change Alex's Role:

  • In the "New Role" column, click on the pulldown menu and select “Univ Student-Incom.” Then click "Save" at the bottom of the page to confirm the change.

5. Notify Alex:

  • Send a message to Alex through D2L informing them of the role change and the new deadline for their project.

6. Monitor Completion:

  • Track Alex's progress. Once Alex submits the final project and it’s graded, go back to the Classlist, select Alex, and revert their role to “Student” by following the same steps.

By following these steps, you can efficiently manage extended course access for students with Incomplete grades in D2L, ensuring they have the necessary time to complete their coursework while maintaining proper course access control.
